Dynamics GP 9 to GP 2016 (New features in each version)

The Microsoft Dynamics GP product team has been doing a fantastic job rolling out new incremental releases every year. In an ideal world – most people would try and stay up to date with the most recent release taking advantage of new performance and feature enhancements. However, most people like to wait out a release or two, and sometimes longer when you have a lot of customizations.

Most good partners and consultants normally recommend not staying more than 2 version behind. As long as you are keeping track of the official support lifecycle – you should be okay. Once in a while you run into people with really old installs. Companies who dont invest in IT, and are fine paying more $ in supporting an old version. When convincing such companies – I normally try and use something like the below to shown them everything they have missed out by not upgrading to the recent version. I have found it to be extremely helpful.

Users will now be able to use Microsoft Dynamics GP from any device that supports HTML5 web browsers such as iPads and Android so they can take advantage of all its functions using popular browsers like Safari, Chrome and Firefox.

· Any GoTo's or drill backs will now go to the single window instead of the user picking open or history.

Historical Received Not Invoiced Report

· A new SSRS report shows what was received into inventory but not invoiced, as of a date you specify. The cutoff date can be either the transaction date or the General Ledger posting date.

Human Resources and US Payroll

Mask SSN on Payroll and HR Reports:

· Masks the employee social security number on selected reports

· For selected reports, the Social security mask will appear as XXX-XX-XXXX when rendered

Time Management APP:

· The time management app will allow GP Employees to enter vacation and sick time in payroll or time off against benefit timecodes within HR. The app is available for Windows 8, iOS iPad devices and Android tablets.

View W2 for ESS:

· With Employee Self Service W2, the employee can now view and print their own W2.

· The action will display on the Time Management home page part.

Workflow – Payables Transaction Approval

· A new workflow type for Payables Transaction approval in Workflow Maintenance is now available.

Distribution and Manufacturing

Historical Received-not-Invoiced Report:

· Created a new SQL Reporting Service Report to have a cutoff date based on transaction date or GL post-date to allow customers to use the report for historical purposes.

Purchasing All-in-One Document View: View all related purchasing documents for a single transaction in one window:

· Select a purchasing invoice and window will refresh to show POs, receipts, payments, etc.

· Accessible from vendor maintenance; many purchasing inquiry windows; navigation lists and the home page.

Service and Project

Scriptable GP Provisioning and Management:

· PowerShell cmdlets

· Templates - set parameters; override with run specific parameters

· Remoting - execute cmdlet on remote computers

Foundation Enhancement

Self Service User License: A self-service user type is added in the Microsoft Dynamics GP 2015 R2 release. Self-service type users can perform a specific set of tasks that include entering hours, recording time spent on projects and or related expenses, or creating a requisition. Support for an additional user type of Self Service –

· Limits the navigation and functionality to essential tasks the self-service user will need

· Security roles tailored to the self-service user type

· Enables user to quickly filter tasks that are available to each user type.

Enable e-mail support for all document formats:

· Support all sales order processing document formats - blank; short; long and other

Document attachments for Workflow e-mail: Send Document Attachments files with workflow task notification emails –

· Scan payable invoices and attach it to the transaction

· Submit through workflow

· Workflow notification e-mail will have scanned invoice attached along with pertinent details of payables invoice for the approver.

Workflow – Payables Transaction Approval

· A new workflow type for Payables Transaction approval in Workflow Maintenance is now available. When you set up and mark this workflow active, the Payables Transaction Approval workflow type will allow you to submit and approve transactions in the Payables Transaction Entry window.

The warning displays when entering a payables transaction to help prevent entries in the wrong module.
Fixed Assets year-end close report:
An optional report is now available when you close a year in Fixed Assets. The assets that are included on the report are categorized by asset book and are listed according to their asset IDs.

Employee self-service enhancements: Now employees can view and edit their own information in their employee profile, skills and training, view and print pay stubs, update federal tax withholding information on form W-4, enroll or withdraw from benefits, and enter or update direct deposit information. Edit e-mail for historical documents - sales and purchases: Now you can edit and re-send email messages that contain sales or purchasing documents that have been sent to customers or vendors. The new option is available from the Sales inquiry Zoom and Purchase Inquiry Zoom windows, if the ability to send documents using e-mail has been enabled for the company you're working in.
Payment Terms: Additional options have been added to the Payment Terms Setup window that provide more flexibility and greater control over how discount dates and transaction due dates are calculated wherever payment terms are used.

Service and Project

Service-based architecture: The move to service based architecture promotes efficiency and flexibility for system implementers and IT managers who deploy Microsoft Dynamics GP from the cloud. This enhancement offers the ability to centralize and automate provisioning and management of Microsoft Dynamics GP, including provisioning new customers, upgrading existing customers to a newer version, adding new companies as needed, and reconfiguring existing customers using APIs and PowerShell commands.

Foundation Enhancement

Identity management: The identity management enhancement enables you to log into your Microsoft Dynamics GP Web Client user account with your organizational account (Azure Active Directory (AD) account). This alleviates the need to log in separately to access your network, SQL Server database and Microsoft Dynamics GP, relying instead on a single secure log in to deliver access to your GP workspace.

Copy user settings:
The copy home page enhancement can save time when setting up new user records by enabling you to copy the home page roles, home page content and area page settings for one user to a different user. Copying settings replaces any settings that were in place for the destination user. Any user with access to set up or edit user records of Microsoft Dynamics GP users can copy home page settings.
Management Reporter integration options: Two new options that were added to the Company Setup Options window allow you to specify whether to use information from General Ledger, Analytical Accounting, or both when using Management Reporter to create financial statements. Because these options are selected for a company, you now have more choices over what data to include in financial reports across your organization.
Single sign on through integration with Microsoft Azure Active Directory to help users work seamlessly across Microsoft Dynamics GP, Office 365, and other cloud-based applications.

As you can see 32 bit Office is required. So if you are getting the "connection to the mapi server not available" error, and Outlook is working fine, you need to check your office version. If you have the 64 bit version install, you need to uninstall it, and re-install 32 bit Office.

There are often questions about compatibility of 64 bit systems with Dynamics GP.

Below is a summary of the common questions for GP 2010 (Please refer to the System Requirements Page for the latest updates)

Dynamics GP SDT Essential Series

Mariano Gomez and Mark Polino have declared this to be the Support Debugging tool week, so following David Musgrave, I’ll also try and roll out the Support Debugging Tool posts I have been working on with Rubal and Chetna.

First up is  - Dynamics GP SDT Essential Series 1 – Working better with Multiple Companies

When you are working with Multiple companies all day long, the little things help.

Using the free Support Debugging Tool from Microsoft, you can achieve the following, with just a few clicks -

  • You can use different color themes for each company, helping you differentiate between various companies in a flash 
  • You can display a message when a user logs into a Test Company or a Historical Company
  • You can display the company name in the Title bar

A few notes -

  • It has Management Reporter setup, which is awesome!
  • Functionality like Workflow and Business Portal are NOT enabled on this VPC.
  • The “CoreMR” VPC is only supported on the Microsoft Virtual PC 2007 SP1 platform.  You will not be able to utilize the new Windows7 Virtual PC Platform.  (In some cases, you may need to uninstall Windows7 Virtual PC from your laptops as it cannot “Coexist” on the same machine with Microsoft Virtual PC 2007 SP1.
  • “Core-Plus” will be available within the next two weeks.

Where’s that GP Window ?

Do you find yourself or other GP Users stumbling to find a Dynamics GP window?   Its pretty natural, considering that there are over 4000 windows in Dynamics GP.

Now you have got a page that can help you find the path of a GP Window.

  1. Go to www.GPWindow.com and click on the “Where's that GP Window?” link. Or directly go to http://www.gpwindow.com/gpwindow.php
  2. Enter the search term containing a part of the window name like -  “Safe Pay” or “Dimension Code”
  3. It will show you associated Window Paths

The “Where's that GP Window?” page covers over 4037 Windows and 4522 navigation paths to them.

So next time you need help finding a GP Window – use this page and let me know if it helps.

Notes :

1. If you need this on your PC, there is a nice application by Rockton Software called Mentor. Mariano Gomez covered it on his blog last year. If your customers are willing to pay a little for something that improves their productivity, Mentor can be a big help for new users.

One of the things I found missing from Mentor is that it doesn’t cover all modules like – Analytical Accounting, Manufacturing, Audit Trails and so on. I had these modules installed, but could not see the windows when I searched for them.  However, it is still a great app for new users.

2. David Musgrave told me that the Support Debugging Tool can help you find a GP Window too - “Use the Resource Information window in Form mode, enter the display name or part of, it will find the window.  Then click the Menu Explorer lookup to find where it is on the menus.”  Is there anything that this tool can’t do ? :)

GP 2010 – Setting up Email Options for Multiple Customers/Vendors

One of the most highlighted features of GP 2010 is the much enhanced email functionality. Its been covered at the Inside Dynamics GP Blog. 

First you need to set up e-mail options for the company

Microsoft Dynamics GP menu >> Tools >> Setup >> Company >> E-mail Settings

From here you can setup the email options for the Sales or Purchasing series

Microsoft Dynamics GP menu >> Tools >> Setup >> Sales >> E-mail Settings

After that if you want to setup messages for email documents you can do that from Microsoft Dynamics GP menu >> Tools >> Setup >> Company >> E-mail Message Setup

Messages can be predefined on a company-wide basis

After setting up the company email options, a two very useful Windows are -

  1. Mass Vendor E-Mail Settings window : Choose the Purchasing button in the navigation pane >> Vendors list >> select vendors >> select E-mail Settings in the Modify group 
  2. Mass Customer E-Mail Settings window : Choose the Sales button in the navigation pane >> Customers list >> select customers >> select E-mail Settings in the Modify group 

Using these windows you can assign e-mail settings to multiple customers/vendors. You can select which documents you want to send. You also can specify message IDs and the document format to use.

Automatic User Access for new AA Codes

If you are using Analytical Accounting, you probably know about this pain point – You have to go to “Setup > Company >Analytical Accounting >
User Access”
and assign security to new codes before they can be used. Most people have customizations setup by their partners to resolve this.

In GP 2010 - Security access to use a transaction dimension code is granted automatically to the user who created the code during transaction entry. So that’s a great step in the right direction.

Excluding Inactive Vendors/Customers from Lookups

One of the common pain points with Dynamics GP Lookups is that they show both Active and Inactive Vendors. For people who deal with lots of Inactive customers and vendors, this is a problem.

In Dynamics GP 2010 – you can use the  “Exclude Inactive Vendors” option to address this.

In Dynamics GP 2010 – there is a “Exclude Inactive Vendors” option implemented in the lookup.  There is “Set as Default View” options as well.  The default view you select will be the view displayed when you open the lookup window the next time.

GP 10

If you are using GP 10, the steps below are an alternative.

1. Create a new SmartList, click on Search and select the search options as shown below. Save this SmartList as a Favorite with the name like “Active Vendors”

2. When you open the Vendor Lookup, click on the arrow on the top left corner and select the Active Vendors Option under favorites. It will display only active vendors.

The small problem with this is that you will have to select the option every time you load the Vendors Lookup Window. This can be solved with writing some basic VBA code using the Grid_BeforeLinePopulate event for the lookup you want to filter.

Field Level Security in Dynamics GP 2010

In Dynamics GP 2010 all Business Essentials(BE) users receive Field Level Security(along with Account Level Security and Electronic Banking Suite) at no additional cost.

This makes the recent post by Frank Hamelly on Field Level Security worth highlighting -  http://gp2themax.blogspot.com/2010/05/gptip42day-fiield-level-security.html – He has a nice example “let's say you want to hide the Current Cost field in the Item Card from everyone but your cost accounting department.  Here's how you do it with FLS:”

Using Field Level Security you can hide any field on a window from specific users. Without Field Level Security if you want to hide the Post or Approve Button on the Batch Entry window from specific users, you would have to use a customization or VBA Code. Field Level Security offers this out of the box. Field Level Security also allows you to assign passwords to make a field or window available to the users.

SQL Server 2008 R2 (Code name Kilimanjaro) with GP 10

An Important note if you are planning to setup GP 10 with the recently released SQL Server 2008 R2 - Service Pack 5 for Microsoft Dynamics GP 10.0 required. Service Pack 5 is scheduled to be released in the summer of 2010.

You would get the error - “your current SQL Server is not a supported version” if you try to install GP 10 with SQL 2008 R2.

GP 2010 is supported out of the box - Microsoft SQL Server 2008 R2 - Enterprise Edition or Standard Edition

SQL Server 2008 has better support and integration for the PowerPivot feature in Office 2010 among many other things. People have reporting using PowerPivot with large amount of data. Microsoft says that with enough memory, 100 million rows can be imported.

Some other really cools things about SQL Server 2008 R2

1. SQL Server 2008 R2 can now scale with Windows Server 2008 R2 up to 256 logical processors.

2. Utility Control Point, which enables a centralized view of SQL Server instances and database applications and their utilization across the designated managed server group

3. Utility Explorer that provides a tree view of the servers, and a dashboard with summary information on the servers.

4. A new Unicode compression scheme, USC-2, can save up to 50% of storage requirements with Unicode data.

Office 2010 and Dynamics GP

With Office 2010 going to retain stores this week, a lot of questions are coming up about upgrading to Office 2010 from Dynamics GP Users.  Office 2010 has already been released to partners and via Technet, and is getting good reviews.

Preston Gralla from PC World writes -

“I review plenty of software packages throughout the course of a year, and it's rare that I come across one that I believe will truly make a difference in the way that I work or use my computer. This is one of those times.”

I recommend you check out the review, highlights the outstanding features of Office 2010, especially Outlook.

Pam at the Inside Microsoft Dynamics GP has highlighted the new features of Excel which would be useful to Dynamics GP Users. PowerPivot and Slices do look wonderful!

Dynamics GP 2010 and Office 2010 (Supported)

As per the GP 2010 System Requirements the supported version of Office with GP 2010 are -

Microsoft Office 2007
Microsoft Office 2010

Note –

1. Based on the feedback from users and a Microsoft tech looks like the Email Functionality in GP 2010 is not compatible with Office 64 bit at this point. It does work seamlessly with the Office 32 bit version.

2. If you want to use Word templates with Office 2007, you need to install the GP 2010 work add-0n

Dynamics GP 10 and Office 2010 (Not supported)

As per the GP 10 System Requirements the supported versions of Office are -

Microsoft Office XP
Microsoft Office 2003
Microsoft Office 2007

Although based on Mariano’s testing last year with the Office 2010 beta, he didn’t run into any problems .

I am currently running Microsoft Dynamics GP v10 Service Pack 4 on Windows 7 Enterprise. Upon launching Dynamics GP I thought I would encounter my first issue with the Home Page perhaps not being able to address the new version of Microsoft Outlook 2010 components.
However, it seems that Microsoft Office development team made a conscious effort to preserve the COM automation interfaces for compatibility with other applications that have come to rely on these objects. Next step involved testing SmartList exports to Microsoft Excel 2010 and Microsoft Word 2010. I went ahead and selected the Account Summary SmartList and click the Export to Excel button. The test completed successfully …

We’ve just setup Office 2010 on a couple of workstations and haven’t  run into any problem with Smartlist exports either. I will post my notes of more testing later.

However, if you want to go the correct  route and get Office 2010, you should start planning your GP 2010 upgrade. Most people already are.

Upgrade Path to GP 2010

While they come up with their lists, here is the upgrade path to GP 2010 that I know of.

From GP 9 – Required 9.00.0371 (Hotfix KB 971017) or later (GP 9 SP 4 was 9.00.0352 )

From GP 10 – 10.00.1368 (Service Pack 4) or later

NOTE: There is no direct update from Microsoft Business Solutions-Great Plains 8.0 to Microsoft Dynamics GP 2010. You must update to Microsoft Dynamics GP 9.0 or Microsoft Dynamics GP 10.0 first.

FRx and Forecaster Replacement– Management Reporter

There has been a lot of coverage about this recently, but I still do get asked these questions quite often, so here’s the summary -

1. What product is replacing FRx ?

Management Reporter. You get Management Reporter and not FRx when you buy GP 2010(unless you point out a missing functionality, which is probably going to be very rare)

2. When is FRx support ending

Support for FRx 6.7 will end around 2012

3. What about FRx Forecaster?

For now continue using Forecaster, its support would end around 2014, when Version 4 of Management Reporter is launched. By then the budgeting aspects would be integrated into Management Reporter and an upgrade path be available.

4. How difficult would it be to upgrade from FRx to Management reporter? How different is MR from FRx ?

There is a step by step wizard for Migrating the data.

FRx and Management Reporter are very similar. Management reporter is just more robust with a SQL Backend. I guess anything and everything would be more robust than FRx. I have seen strange FRx errors make grown-ups cry. I am definitely going to miss the Sysdata folder and the TDB files though.
